Who I am

My name is Elisabeth Hippe-Heisler and I run a freelance translation business in the United Kingdom. You may contact me in my capacity as the data controller through my Contact page.

Why I process your personal data

The security and privacy of your personal data is very important to me. I collect, store and use your personal data only to submit a quote, to provide a translation or other language service which you have ordered, for internal record keeping or to comply with legal provisions. If you contact me via the contact means provided on my website, your personal data will be stored on my system for the purpose of communicating and doing business with you. I do not use your personal data for marketing purposes.

What personal data I collect

Personal data which I collect may include your name, job title, postal address, telephone number, e-mail address(es), and tax or accounting information. I only process special categories of personal data if you send them to me for the specific purpose of translation. I also sometimes use text or photos in tweets for embedding in my blog.

Website tracking

You may use this website without disclosing personal data. I do not analyse website traffic using data collection technology such as Google Analytics or cookies. However, most web browsers automatically store cookies, but you can usually choose to accept or decline them.

Legal grounds for processing personal data

The legal basis for processing your data is to perform a translation or other language service which you have ordered or to take any steps required to perform a contract for a translation or other language service. This basis also applies if you perform a service for me. The legal basis for processing special categories of personal data is your explicit consent for me to work on the text in question.

Disclosure of personal data to third parties

In the event that I send a text for revision to a colleague, I will anonymise that text. Therefore your personal data will not be shown in it.

Please note that other third parties such as my accountant and the providers of my cloud backup, website and e-mail hosting services may have access to your personal data. All these parties are compliant with the EU General Data Protection Regulation or in the case of US companies are self-certified under US Privacy Shield provisions.

How long I keep your personal data

I delete all personal data for quotes after 4 months.

I keep personal data in connection with services rendered for 7 years after the end of the relevant tax year to comply with UK tax regulations. If personal data is part of a translation, I will keep such personal data for 10 years.

For services which I have received I keep personal data for 5 years.

My e-mail communication history can be traced back over 5 years, but not longer.

Your data access rights

You have the right to request from me, any time and free of charge, to receive a copy of the personal data which I have stored, have them rectified or erased. I will take action promptly and in any event within 4 weeks of receipt of your request.

Your rights to file a complaint

Please do not hesitate to contact me if you have concerns about how I process your personal data. You are also entitled to file a complaint with the Information Commissioner's Office (ICO) or the relevant authority in the country where you live.

This Privacy Notice was updated in May 2018. I will review and update it as required.
